REACHWARM

Privacy notice

This notice explains the information used to provide Reachwarm and how to raise a privacy request.

Last updated: 27 September 2026

Information we handle

Account and workspace information includes your email, account credentials, workspace memberships and settings. Workspace activity can include the websites and descriptions you submit, targeting choices, imported leads, research, contact candidates, campaigns, messages, replies and usage records. Payment records include transaction references, status, amount and currency; payment-card entry takes place with the payment provider.

We also receive information you submit through support or privacy requests. Technical logs may contain request details, device or network information, timestamps and errors needed to operate and protect the service.

Prospect research and public sources

Research may use publicly accessible business websites and directories, existing graph evidence and information supplied by workspace users. Business contacts can still be personal information. Sources, inferred contact patterns and verification results have different levels of certainty. An inferred email is not proof of ownership or permission to contact someone.

Workspace imports and private campaign activity are handled separately from reusable public-source research. A workspace administrator controls who can access that workspace. If a customer uses Reachwarm to contact you, that customer is responsible for its own outreach purpose and privacy obligations.

Why information is used

Information is used to maintain accounts, provide research and outreach tools, process payments, record usage, handle replies and opt-outs, respond to requests, detect abuse and meet applicable legal obligations. Depending on the activity and applicable law, processing may rely on providing a requested service or contract, legitimate business interests with appropriate safeguards, legal obligations or consent where required.

Service providers and international processing

Hosting and infrastructure services, configured model providers, email services and payment processors may process the information needed for their functions. For example, supplied website content can be sent to a configured model provider for analysis; outreach and reply content can pass through the configured email service; Paystack handles hosted payment processing. These providers may operate outside your country. You can contact us for information about the providers and transfer arrangements relevant to your use of the service.

Storage and retention

Research is saved so workspaces can return to their discoveries. Deleting a saved discovery does not automatically delete saved leads or sent-message history. Operational, payment, security, suppression and audit records may need to be retained separately to run the service, honour opt-outs, resolve disputes or meet legal obligations. Contact us about deletion or retention of specific information; requests are reviewed against the relevant records and obligations.

Browser storage

Reachwarm uses browser storage for functions such as authentication, campaign drafts and preserving your website or plan selection. Clearing it may sign you out or remove drafts saved only on your device. This notice does not describe those functional records as permission for advertising tracking.

Your choices and requests

Depending on applicable law, you may be entitled to request access, correction, deletion, restriction or portability of personal information, object to certain processing, or withdraw consent where processing relies on it. Use the contact form and select Privacy or data rights, or Outreach or data opt-out. Identify the relevant information without sending sensitive identity documents in the first message. We may request proportionate verification before disclosing or changing records.

You may also raise a concern with the relevant data protection authority, including the Nigeria Data Protection Commission where applicable. Nothing in this notice limits rights provided by applicable law.

Changes to this notice

The date above identifies this version. Material changes to processing should be reflected in an updated notice and communicated as required by applicable law.
